DISCLOSURES:

Booths will not assigned until funds are received and are on a first come first serve basis.
Booths include pipe and drapes on back and sides. Also includes listing in show program and website and locator sign. No tables or chairs provided/bring your own.
Refunds are ONLY considered with a 30 day written notice and are subject to a 50% service fee.
If you have electric for your booth, you will still need to supply your own extension cables.

TERMS & CONDITIONS

1) Exhibitors will have all exhibits and all materials in place by 8 am, February 22, 2024 and will remain in place until 4 pm February 24, 2024, and will be removed no later than 9pm February 24, 2024.

2) No motor vehicles operating in the exhibit areas during the two days of show. PA system or other sound systems that will interfere with the success of other exhibitors are prohibited.

3) Exhibit area will be keep clean during show and will remove all debris, foundations, ground cover, building materials ect.. after the show.

4) Exhibitors CAN NOT sub-lease or assign any part of the assigned exhibit booth to other parties.

5) Exhibitors are allowed only to promote their product from their assigned booth space.

6) Exhibit mail/parcels are not be sent to the Canadian County Expo & Event Center, in care of C & M Production Group L.L.C. without permission.

7) The exhibitor will not perform any illegal activity or allow any activity that is illegal, defined by Federal, State and/or Laws of the Jurisdictions where the show is being held. PLEASE see the NEW SPECIAL EVENT TAX DEPARTMET GUIDELINE’S SHEET for more information.

8) Exhibitors are responsible for any applicable City & State taxes for merchandise sold at the “2024 Crossroads of Oklahoma - Farm Show”.

9) C& M Production Group L.L.C. reserves the right to make final decision as to who may exhibit in the show.

10) C & M Production Group L.L.C. has the final decision as to booth space assignment. No specific booth space assignment is guaranteed.

11) **CANCELLATION must be sent to the C & M Production Group L.L.C. before January 22, 2024 and cancellations cannot be taken over the phone. As the Exhibitor, I acknowledge that if I cancel my contract I MUST do it before the above said date and it is my responsibility to inform the show’s promoter. *IF there is a Notice of Cancellation from C & M Production Group L.L.C. for the 2024 Crossroads of Oklahoma - Farm Show due to a National/State Pandemic Shutdown we will apply your show funds to our other future shows held at the Canadian County Expo & Event Center (to be used at the one of our next scheduled shows owned by C & M Production Group L.L.C. or funds will be forfeited)….We will need a letter via mail or email from you on which show you would like to apply your funds too. IF YOU chose to cancel your contract for the 2024 Crossroads of Oklahoma - Farm Show due being sick or quarantined with no national or state shutdown during that time period there will be no refund or transfer of funds…..we must be informed before January 22, 2024.

12) In the event of cancellation or interruption of the show due to fire, strike, government regulations, acts of God, or any cause beyond control, C & M Production Group L.L.C. shall determine an equitable base for refund of such portion of amount paid as is possible after considering expenditures and commitments already made. If for any reason the show date or place is changed, no refund will be made, but C & M Production Group L.L.C. must be able to assign exhibitor space in lieu of original space.

13) If the exhibitor fails to occupy space contracted for by 8 am, February 22, 2024 or fails to comply in any other respect with the terms of this agreement, C & M Production Group L.L.C. shall have the right to use such space in any manner without releasing the exhibitor from paying the sum agreed upon in this contract.

14) Exhibitors are liable for any damages caused to the building floors, walls, doors or columns or to standard booth equipment, or other exhibitor’s property.

15) All Vendor’s vehicles & trailers MUST park in a gated area on the west side of the Canadian County Expo & Eventer Center each day of the show dates… NO EXCEPTION.

16) All Vendor shall abide by contracted move-in and move-out dates and times. Items not removed by vendor may be removed and stored by C & M Production Group L.L.C. and vendor will pay all cost of removal & storage.

17) Forklifts are provided at no charge for the first hour only. Additional time will incur a $50 penalty plus an additional $45 service fee for every half-hour, C & M Production Group L.L.C. limits forklift use to unloading and loading equipment. Forklifts will not be used for assembling any exhibits. A company representative must be present at the time of forklift use. Exhibitors must sign up for forklifts at the C & M Production Group L.L.C. booth on day of move-in and move out. Services are performed on a first come–first basis.

18) Each exhibitor must maintain a comprehensive general liability insurance policy with limits of not less than $1,000,000 (One Million Dollars) for all bodily injury and property damage arising out of a single occurrence, including coverage for the indemnity and hold harmless herein. Prior to commencement of “2024 Crossroads of Oklahoma Farm Show”, all exhibitors will need to provide evidence of such insurance coverage. Proof of coverage needs to be presented to C & M Production Group L.L.C. by January 22, 2024.

19) Early packing of a booth is PROHIBITED! Anyone doing so will not be invited to return. It is the height of disrespect to even those last few attendees and unfair to exhibitors. The last attendee deserves the same attention as the first! NO portion of booth to be dismantled for tear down until 4:00pm Saturday, February 24, 2024. If we have any early breakdown this year we will be forced to set a fine of $100.00 for future shows and only to be paid back at the end of show when C & M Production Group determines that your booth was NOT dismantled before closing of show.

20) By signing this contract you have agreed that no claim of any kind will be made against 2024 Crossroads of Oklahoma Farm Show and as the exhibitor you shall indemnify and hold harmless C & M Production Group L.L.C., Canadian County Expo & Event Center and/or its’ sponsors, or any officer or employee of these organizations or any authorized subcontractors. Under no circumstances will these organizations, or any representatives, be responsible for any or all losses, damages, attorney fees, expense, cost, charge, liability, theft of any merchandise, display or goods, of the exhibitor, or injury to himself/herself, or any employee of the exhibitor, while attending 2024 Crossroads of Oklahoma - Farm Show.

21) As the exhibitor, I acknowledge responsibility, ability and willingness to pay at the signing on the contract. I agree to be liable for reasonable collections up to 25% of the principal should it ever become necessary to incur such expense for C & M Production Group L.L.C. to secure payment.

22) There is a $50.00 service fee for all returned checks for insufficient funds or stop payment, the service fee will be applied and all afore mentioned col lections will be applicable.

23) If BALANCE is PAID the week of the “2024 Crossroads of Oklahoma - Farm Show” an additional $50.00 will be charged per 10x10 booth and

must be paid before moving to your booth. All payments made at the “2024 Crossroads of Oklahoma - Farm Show” MUST be paid in CASH, MONEY

ORDERS, CASHIER CHECKS OR CREDIT CARD….NO CHECKS.
